Adding & Managing Inboxes

Set up SMTP credentials, configure IMAP for reply tracking, and import inboxes from CSV.

What Is an Inbox?

An inbox is the email account Revrep uses to send your cold emails. Each inbox has its own SMTP credentials, sending limits, and warmup state. You can have multiple inboxes and rotate between them when enrolling contacts.

Adding an Inbox Manually

Go to your Inboxes page and click Add Inbox. Fill in the following required fields:

Configuring IMAP (Optional but Recommended)

IMAP allows Revrep to read incoming mail on your inbox. This enables:

  • Reply detection: Automatically detect when a prospect replies to your email
  • Bounce detection: Identify emails that bounced back
  • Delivery verification: Confirm that sent emails were actually delivered

To configure IMAP, provide:

Without IMAP: Revrep will not be able to detect replies or bounces automatically. You will need to monitor your inbox manually for responses.

Importing Inboxes from CSV

If you have multiple inboxes to set up, use the Import Inboxes option. Prepare a CSV file with these columns:

  • email — the from email address
  • first_name, last_name — sender name
  • smtp_host, smtp_port, smtp_username, smtp_password
  • imap_host, imap_port, imap_username, imap_password (optional)

After uploading, Revrep auto-detects common column names and maps them. You can adjust the mapping before confirming the import.

Testing Your Inbox

After adding an inbox, use the Send Test Email button to verify your SMTP credentials are working. This sends a test email to an address you specify. If the test fails, double-check your SMTP host, port, username, and password.

Common issues:

  • Google Workspace: You may need to create an app-specific password if 2FA is enabled. Go to Google Account > Security > App Passwords.
  • Microsoft 365: Some accounts require enabling SMTP authentication in the admin center.
  • Wrong port: Try 587 with TLS if 465 with SSL does not work, or vice versa.

Warmup States

Every new inbox starts in the Cold warmup phase and cannot send cold emails until warmup is complete. The warmup badge appears next to each inbox:

  • Cold (blue) — Warmup in progress, no cold sends allowed
  • Warm (yellow) — Ramping up, limited daily volume
  • Hot (green) — Full volume, ready for campaigns

Deleting an Inbox

You can delete an inbox from the inbox management page. This action is permanent and cannot be undone. Any active enrollments using that inbox will stop sending.
